Notion vs Coda vs ClickUp 2026: Which Task Manager Should You Choose?
Ukrainian sole traders have been asking “what should I use instead of Trello?” since 2022 — and nobody agrees on an answer. In June 2026, the task manager market reshuffled again: Notion added AI notifications, ClickUp rolled out ClickUp 3.0 with a reworked architecture, and Coda quietly raised its free-tier row limit.
Notion is a flexible knowledge base with kanban and databases. Coda is a “living document” with native tables and automations built right into the page. ClickUp is a full project management system with 35+ task views, a built-in time tracker, and something close to a CRM. Three different philosophies. And honestly, none of them is “the best” — it depends on what a specific sole trader actually needs.
# Free tiers: where you can actually work without paying
For a sole trader without a team, Notion’s free plan is a closed question. Since November 2023 the company removed the 1,000-block cap — you can now create unlimited pages, nested databases, and kanban boards. The only real constraints: version history covers just 7 days, and you can invite a maximum of 10 guests.
ClickUp’s free tier gives you unlimited tasks, but only 100 MB of storage. That runs out fast even for a freelancer with a few projects involving file attachments. And the built-in Gantt charts aren’t available on the Free plan — those unlock only at $7/month.
Coda is a different story. The free Doc supports up to 1,000 rows per table. Fine for personal use. But if a sole trader is tracking a client list or a task backlog with several months of history, that limit arrives in 2–3 months of regular work.
The takeaway is simple: starting with no budget — choose Notion. If you know from day one that you’ll be building internal tables and mini-apps, go straight to Coda Pro at $10/month.
# Notion in Ukrainian: how the localisation works
Notion added Ukrainian as an interface language in early 2024 — and for Ukrainian users, that’s a meaningful detail. You switch it in Settings → Language & region → select “Українська.” After that, all system labels, buttons, and notifications appear in Ukrainian.
That said, page content stays in whatever language the user wrote it in. Notion AI ($10/month as an add-on) works with Ukrainian text as of June 2026, but generation quality is noticeably weaker than in English.
ClickUp and Coda have no Ukrainian interface. For some sole traders — especially those with team members who struggle with English — that’s a hard blocker.
If a Ukrainian-language interface is a priority, the decision is already made: Notion. There’s no alternative among the top three.
# ClickUp pricing 2026: is the paid plan worth it
ClickUp Unlimited costs $7 per user per month with annual billing. That’s the cheapest paid tier in this group. But the details matter — ClickUp Brain (the AI assistant) costs an additional $5/month per user on top.
So a sole trader with one assistant on a full ClickUp + AI setup pays: ($7 + $5) × 2 = $24/month. At the NBU rate of UAH 41/USD (June 2026), that’s roughly UAH 984 per month. Not quite “nearly free.”
What actually justifies paying for ClickUp:
- Built-in time tracker — no need for a separate Toggl or Clockify subscription
- Gantt charts and task dependencies — useful for project-based sole traders in construction, IT, or design
- Customisable statuses and automations — up to 1,000 automations per month on Unlimited
For a solo freelancer with no team: it’s overpaying. For a team of 3–7 people doing active project tracking, ClickUp Unlimited pays for itself — our estimate puts the break-even at roughly six weeks of active use, based on time saved on manual reporting.
# Asana vs Notion: when Asana is the better pick
Asana is built for team work management, not documentation. Its free tier supports up to 15 members with basic task lists and boards. The paid Premium plan is $10.99/month per user with annual billing.
Notion beats Asana in one specific scenario: when a sole trader is managing tasks, a knowledge base, contract templates, and client meeting notes all at once. In Notion, everything lives in one place. In Asana, only tasks live there — documents go to Google Drive or Confluence.
The flip side: Asana is the better call when:
- The team is larger than 5 people and you need strict ownership structure
- Projects have hard deadlines and dependencies (Asana’s Timeline view handles this more cleanly than Notion’s)
- You need native Salesforce or Jira integration without extra configuration
For most Ukrainian sole traders, though, Asana is overkill. Paying $10.99 for task management you could handle in free Notion is a hard sell.

# Which task manager for a sole trader: scenarios by work type
One size doesn’t fit all — here’s where that actually matters.
Solo freelancer (designer, copywriter, developer). Notion’s free tier covers everything: tasks, client database, contract templates, notes. No spending required.
Sole trader with a team of 2–5. Based on our survey (Kompanion, April 2026, 12 small teams across Kyiv, Kharkiv, and Lviv) — 7 of 12 chose ClickUp for its built-in time tracker and clear task assignments. Spending $7–14/month pays off at even one saved hour of status meetings per week.
Sole trader in IT or product development. Coda or Notion with GitHub integration. Coda is the stronger pick if you need to build internal tools — release trackers, feedback forms, metrics dashboards — without code.
Sole trader in professional services (consulting, accounting, legal). Notion as a knowledge base plus a database-driven CRM. Sufficient for 10–20 active clients. Once you’re managing more than 30 active clients, consider a dedicated CRM.

# Automations and integrations: who actually saves you time
This is where the three tools diverge most sharply.
Notion automations (added in 2024) — basic triggers: when a status changes → send a notification; when a record is created → add it to another database. Native integration with Zapier and Make (formerly Integromat) extends the range to almost any external service. But Notion’s native automations are simple — don’t expect sophisticated logic out of the box.
ClickUp automations — up to 1,000 automations per month on Unlimited. Native triggers cover status changes, priority shifts, date changes, and reassignments. There’s a built-in if-this-then-that constructor. For teams with repeating processes — weekly reports, template-based task assignments — this works without any external tools.
Coda buttons and automations — the most powerful of the three. A button inside a document can add a row to a table, send an email via Gmail, create a record in another Doc, or call an API. It’s essentially a no-code app builder. The learning curve is steeper though — you need to understand table structure and Coda’s formula syntax.
None of the three have native integrations with Ukrainian services — Diia (Ukraine’s government digital app), PrivatBank, Monobank, or Vchasno. Pulling data from bank statements requires Make or Zapier with additional steps.

Frequently asked questions
Is Notion free for a Ukrainian sole trader?
Yes. Notion removed its block limit on the free plan in November 2023. For a solo founder without a team, the free tier covers everything: unlimited pages, databases, and up to 10 guests. You only need the paid Plus plan ($12/month) if you require version history beyond 30 days or want to invite more than 10 collaborators.
Does ClickUp have a Ukrainian or Russian interface?
No. As of June 2026, ClickUp has no official localization into Ukrainian or Russian — English only. Notion has supported Ukrainian since 2024. Coda is English only.
Can you pay for ClickUp with a Ukrainian bank card?
Yes. ClickUp accepts Visa and Mastercard, including cards from PrivatBank, Monobank, and FUIB. Payment is charged in USD at the card network's exchange rate on the transaction date. Some users report occasional declines with PrivatBank cards — Monobank typically works without issues.
What's the difference between Coda and Notion?
It comes down to data philosophy. Notion is built around pages with embedded databases. Coda is built around a 'living document' where tables, buttons, and automations are native elements, not plugins. For a sole trader with straightforward needs, Notion is faster to get started. Coda wins when you need to build internal mini-apps without writing code.
Notion or ClickUp for a team of 3–5 people?
Based on our sample of 12 small Ukrainian teams (Kompanion survey, April 2026): 7 use ClickUp for its built-in time tracking and Gantt charts, 4 use Notion for knowledge management, and 1 uses Coda. Teams doing active project management lean toward ClickUp. Teams where documentation matters most lean toward Notion.
