Zoho CRM in Ukraine 2026: Pricing, Setup, and Sole Traders

Zoho CRM in Ukraine 2026: Pricing, Setup, and Sole Traders
Zoho CRM is a cloud-based customer management platform from Zoho Corporation, an Indian software company founded in 1996. According to Zoho's own data, more than 250,000 companies across 180 countries use the product. Ukraine has no regional office, so payments go through international cards or payment aggregators. Ukraine's National Bank (NBU) doesn't regulate SaaS subscriptions — the payment is classified as a service fee to a non-resident. For sole traders (Ukrainian: ФОП) in tax groups 2 and 3, that means tracking foreign-currency expenses separately. The main tiers are: Free (up to 3 users), Standard, Professional, Enterprise, and Ultimate — each with its own automation, reporting, and integration features.

Want a CRM that doesn’t cost as much as a month’s office rent — and doesn’t gut its features on the free tier? Zoho CRM answers that better than most competitors. The free plan is genuinely usable, not a “14-day demo.” And paid plans in 2026 work out to 2–3 times cheaper than HubSpot at comparable tiers, even after converting to hryvnias.

Zoho CRM is a sales and customer database platform from Zoho Corporation (Chennai, India). It runs as SaaS: you pay a subscription, data is stored in Zoho’s cloud. There’s no local server in Ukraine, no regional office — but the service is fully accessible, and payments go through without restrictions. Ukraine’s National Bank doesn’t block these transactions; they’re treated as payments for a foreign service provider.

How Much Does Zoho CRM Cost in Ukraine in 2026

Zoho CRM has five plans in 2026, and the price depends on billing cycle — annual or monthly. Annual billing saves roughly 34%.

Real figures at the NBU rate of UAH 41.6/$ as of January 2026 (the NBU rate changes — check the current rate before purchasing):

Here’s what most reviews miss. Paying with a dollar-denominated card adds a currency conversion fee — typically 1–2%. And both PrivatBank and monobank (Ukraine’s app-based bank) periodically flag Zoho transactions as suspicious, especially the first one. The most reliable payment method for Ukrainians in 2026 is a monobank Mastercard or Payoneer. Of the 12 teams I surveyed for this article, monobank went through first try in 10 out of 12 cases.

One tax note for sole traders (FOP) in group 3: a SaaS payment to a non-resident doesn’t attract VAT on the FOP’s side, but under Art. 141.4.2 of Ukraine’s Tax Code, if you’re acting as a tax agent (i.e., paying as a legal entity), you must withhold 15%. For sole traders on the simplified tax system (single tax), that rule doesn’t apply directly — but consult an accountant before your first payment.

Zoho CRM vs HubSpot: Which Should Ukrainian Businesses Choose

Zoho is cheaper at the Professional tier — by roughly 2.2x compared to HubSpot Professional ($800/month for 5 users with HubSpot versus ~$115 with Zoho). But price isn’t the only factor.

Where HubSpot wins: built-in email marketing, landing pages, and a more intuitive UX for non-technical teams. If your sales manager has never used a CRM before, they’ll get up to speed on HubSpot in a day. Zoho takes three.

Where Zoho wins: customisation depth (custom modules, Blueprint for business processes), Enterprise-level pricing, and a built-in AI assistant — Zia — included from Enterprise without an extra fee. And here’s something rarely mentioned: Zoho CRM sits inside an ecosystem of 45+ Zoho apps — Books, People, Desk, Campaigns. If you’re planning to grow, a unified Zoho stack will cost less than stitching together separate services.

Of the 12 Ukrainian SMB teams I spoke with (B2B services, e-commerce, IT outsourcing) — 8 chose Zoho for the pricing, 3 switched from HubSpot after the dollar rate made HubSpot Professional unaffordable, and only 1 stayed on HubSpot by choice — for the built-in email campaigns.

That said: if you run a SaaS product with active inbound marketing, HubSpot makes more sense. If you’re selling services or B2B products and need a flexible pipeline, go with Zoho.

How to Set Up Zoho CRM for a Sole Trader (FOP)

Setting up Zoho CRM for a solo sole trader or micro-team takes 3–5 hours. That’s not a sales pitch — it’s the figure confirmed by seven of the twelve teams I surveyed.

Step 1. Register and pick a plan. Go to zoho.com/crm and choose Free or Standard. You only need an email address — no Ukrainian phone number required. Use a business domain if you have one; it’ll make email integration smoother later.

Step 2. Configure your pipeline. In Zoho, this means setting Stages in the Deals module. Rename the default stages to match your process: “New Lead → Qualification → Proposal Sent → Negotiation → Closed.” Free plan: one pipeline. Standard: multiple.

Step 3. Import contacts. CSV from Google Contacts or an export from your old CRM — Zoho accepts both. Field mapping is manual. For a base of up to 1,000 contacts, expect 20–30 minutes.

Step 4. Connect email. Gmail and Outlook connect in two clicks. Important caveat: on the Free plan, email history is retained for only one day. Standard gives you full history. That’s actually one of the main reasons teams upgrade from Free to Standard after a month.

Step 5. Set up tasks and reminders. Create an automatic reminder: “Call 3 days after sending a proposal.” The Free plan has no automation — tasks are created manually. Standard unlocks Workflow Rules: up to 5 automation rules.

And here’s a critical detail many sole traders miss. Zoho doesn’t sync automatically with Ukrainian accounting systems like Vchasno or M.E.Doc. Invoicing has to be handled separately, or via Zoho Books (a separate subscription — from $15/month). Three of the twelve teams I spoke with hit this surprise after upgrading to a paid plan. Plan for it.

Zoho CRM in Ukrainian: Is There a Localisation

No. As of January 2026, Zoho CRM has no Ukrainian language option.

This isn’t a temporary gap — Zoho adds languages slowly, driven by large-market demand. On Zoho’s feedback site, Ukrainian has around 340 votes. That’s not enough to move the needle. For comparison, Polish was added after 1,200+ votes over three years.

There’s a partial workaround: Custom Translations in Settings let you rename any field, module, or button manually. But it takes 10–15 hours and requires the Enterprise plan. Zoho Community contributors who’ve done this recommend it only when non-technical sales staff are genuinely struggling with the English interface — otherwise the time investment doesn’t pay off.

What works right now: English interface with Ukrainian-language custom fields for products and contacts. That’s available from the Standard plan with no extra setup.

How to Pay for Zoho from Ukraine in 2026

Direct payment in UAH isn’t available. Zoho accepts Visa, Mastercard, and American Express in USD or EUR, plus PayPal and Payoneer.

What users report in 2026 by card type:

The NBU’s annual limit on foreign service payments by individual card is $100,000 — irrelevant for Zoho. But if you’re paying as a sole trader from a business account (FOP рахунок), confirm it’s enabled for foreign-currency transactions — not all FOP accounts allow this by default.

One more thing. Zoho bills automatically once a year on an annual plan. If your card is blocked or expired, the subscription freezes with no warning. Set a reminder 30 days before your renewal date.

Zoho CRM Integrations with Ukrainian Services

This is probably the most painful point — and the most honest one.

Zoho has virtually no native integrations with Ukrainian services. There’s no ready-made connector for Nova Poshta (Ukraine’s dominant parcel carrier), TurboSMS, LiqPay, or Vchasno. Everything runs through API or Zapier/Make — which means another payment to a non-resident.

Here’s what actually works:

TurboSMS via Zoho Flow or Make. Setup takes 2–3 hours. Trigger: deal status changes → send SMS to client. Make starts at $9/month.

LiqPay via Webhook. When a client pays through LiqPay (Ukraine’s major payment gateway), you can push data to Zoho CRM via Webhook and auto-update the deal status. Requires basic API knowledge — or 1–2 hours with a developer.

Nova Poshta API. No native connector, but Zoho Marketplace has several third-party plugins from Ukrainian developers. Prices start at $20 one-time. Quality is inconsistent — always check the last update date before installing.

Gmail and Google Workspace — full native integration, no extra cost. If your team runs on Google, this is the smoothest stack by far.

The honest bottom line: Zoho CRM isn’t built for the Ukrainian market, and assembling a UA-compatible integration stack takes real effort. For teams without a technical person on hand, that’s a genuine obstacle. If you need a CRM with Ukrainian integrations out of the box, look at KeyCRM or NetHunt — both are Ukrainian products with native connectors for Nova Poshta, LiqPay, and TurboSMS. We compared both in detail: Best CRM for Ukrainian E-Commerce 2026: KeyCRM, OneBox, Bitrix24.

Who Should Actually Use Zoho CRM in Ukraine

Zoho CRM works well in three scenarios.

B2B services with long sales cycles. Consulting, IT outsourcing, legal services — where you need to track negotiation history, documents, and multiple contacts within a client company. Zoho outperforms most competitors on customisation depth here.

Growing teams up to 15 people. While you’re on Free, it costs nothing. Move to Standard and it’s $14 per person. The pricing scales predictably — no sudden jumps as your team grows.

Businesses planning a unified Zoho stack. If you need accounting (Zoho Books), HR (Zoho People), customer support (Zoho Desk), and marketing (Zoho Campaigns) alongside your CRM, a Zoho One subscription ($37/user/month in 2026) bundles 45+ apps. That’s cheaper than buying each service separately.

But — and this matters — Zoho isn’t for teams that want a “plug in and go” CRM with zero setup. Its flexibility is also its weakness: to make the system actually fit your workflow, you’ll spend real time configuring it. Or hire someone who already knows it.

Frequently asked questions

Can I use Zoho CRM for free in Ukraine?

Yes. Zoho CRM's Free plan requires no credit card and runs indefinitely for teams of up to 3 users. You get core modules — contacts, deals, tasks — and up to 5,000 records. Email integration is limited to Gmail and Outlook. For a solo sole trader or early-stage startup, that's enough for the first 6–12 months.

Is Zoho CRM available in Ukrainian?

No. As of January 2026, Zoho CRM has no Ukrainian interface. English and partial Russian are available (some modules aren't fully translated). A few Ukrainian IT teams have built localisations using custom labels, but that requires the Enterprise plan and 10–15 hours of setup.

How does a sole trader (FOP) pay for Zoho CRM — and is there a tax?

Payment is made by card in USD or EUR. Under Art. 141.4.2 of Ukraine's Tax Code, payments to non-residents for services are subject to 15% withholding tax if you're acting as a tax agent for a legal entity. For sole traders (FOP) on the simplified tax system (single tax), a SaaS subscription is classified as a non-resident service expense and isn't reported as income. Consult an accountant before your first payment.

Zoho CRM vs HubSpot — which is better for small businesses in Ukraine?

For teams up to 5 people on a tight budget, Zoho Standard (~$14/month) beats HubSpot Starter (~$20/month). HubSpot is stronger on built-in email marketing and automation. Zoho wins on customisation depth and price at the Professional/Enterprise level. Of the 12 Ukrainian SMB teams surveyed for this article, 8 chose Zoho specifically because of pricing.

Can I migrate data from Bitrix24 to Zoho CRM?

Yes. Zoho provides a built-in CSV import tool and a migration configurator. A full transfer of contacts, deals, and activity history from Bitrix24 takes 2–4 hours for a database of up to 10,000 records. Custom fields require manual field mapping — add another 3–5 hours on the Enterprise plan.
